MailReel ("we", "us", "our") is committed to protecting your privacy. This policy explains what data we collect, how we use it, and your rights.
What Data We Access
When you sign in with Google, MailReel requests access to:
- Your email address and name — to create your account
- Gmail read access — to fetch emails from your primary inbox and create video summaries
- Gmail modify access — to archive, reply, and forward emails when you swipe
We only read your primary inbox. Spam, promotions, social, and trash folders are excluded automatically. We fetch up to 15 recent emails at a time.
How We Use Your Data
- Email content is sent to our AI service (OpenAI) to extract urgency, action items, deadlines, and generate a short voiceover script and visual description. Email bodies are truncated to 5,000 characters.
- AI-generated summaries (urgency, key points, voiceover text) are stored in our database alongside your email metadata.
- Original email content (subject, sender, body) is stored to display in the app and enable reply/forward actions.
- Gmail actions (archive, reply, forward) are performed via the Gmail API using your access token — we act on your behalf, not on our own.
What We Do NOT Do
- We never sell, share, or transfer your email data to third parties for advertising or marketing
- We never store your Google password — authentication uses industry-standard OAuth 2.0
- We never access emails outside your primary inbox
- We never send emails on your behalf without your explicit action (swiping right to reply or up to forward)
Data Storage & Security
- Your data is stored in a PostgreSQL database hosted on secure cloud infrastructure
- Gmail access tokens are stored encrypted and automatically refresh when expired
- Sessions expire after 7 days and can be terminated at any time by logging out
- All communication between your browser and our servers uses HTTPS encryption
Data Retention
Your email data and account are retained as long as you use the service. You can delete your data at any time by:
- Logging out of MailReel (terminates your session and access token)
- Revoking MailReel's access from your Google Account permissions
- Contacting us at the email below to request full data deletion
Third-Party Services
MailReel uses the following third-party services:
- Google Gmail API — to read and act on your emails
- OpenAI API — to analyze email content and generate summaries (email content is processed but not stored by OpenAI per their API data usage policy)
- Replicate (Flux) — to generate contextual images for video summaries (only AI-generated scene descriptions are sent, never email content)
- Stripe — to process payments (we never see your credit card number)
Google API Services User Data Policy
MailReel's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Your Rights
You have the right to:
- Access and export your data
- Request deletion of your data
- Revoke MailReel's access to your Google account at any time
- Opt out of any non-essential data processing
Changes to This Policy
We may update this privacy policy from time to time. Material changes will be communicated through the app.
